Summer Camp Registration Software Compared

Disclosure: I founded Everybooking and use it at Wilderness Edge. We have hosted camp and other groups during 27 years of venue operation. My firsthand examples concern bookings and venue administration, not running a camp’s medical program.

Summer camp registration software should make it easy for parents to choose dates, register children and understand the price. Summer camp management software also needs to turn those bookings into room lists, meal information, invoices and clear instructions for staff.

For a camp that hosts visiting groups, the first step is a camp booking estimate covering the stay. At Wilderness Edge, our Everybooking funnel prepares a 20-item quote in about two to four seconds.

After the booking is accepted, I use MCP to turn the group’s details into room assignments, meal information and booking documents. This complex preparation usually takes two to four minutes. A larger job—such as creating a spreadsheet for 200 guests and assigning all their rooms—can take about nine minutes. These are my estimates from Wilderness Edge’s group administration, including camps.

A camp booking needs to become guest lists, room assignments and clear information for staff. I direct that work through Claude and Everybooking, then review it. Across Wilderness Edge’s group administration, I estimate that the same tasks now require 90–99% less manual work.

Manual (90 minutes) and limited MCP (45 minutes) are illustrative comparisons. MCP usually takes me 2–4 minutes; a 200-person spreadsheet with room assignments can take about 9 minutes.

How MCP changed our camp and group administration

At Wilderness Edge, we used Google Sheets to prepare guest names, room lists and group agendas. Everybooking now generates those lists for us. We can give it an organizer’s guest list, prepare room placements and send food allergy information to the kitchen.

Those times are my estimates across Wilderness Edge’s group business, including camps. They are not a timed study or a result measured for family camp registration alone.

Ask whether your camp software works through MCP

Judge camp booking automation by the work completed in the system. I want to see the room list, invoice and kitchen information ready for review, with the AI showing me anything it could not resolve.

Use the same practical request with Everybooking and the other providers:

“Use this approved group list to prepare room assignments and the kitchen’s meal and allergy lists. Show me any missing information before I approve the results.”

For family registration, also ask whether the AI can move a camper to another session, check available places and prepare the payment change. Those are tasks to test with your own camp rules.

Ask the provider to perform the change through the AI you plan to use, then show the saved records. A connection that can answer a question may have different permissions from one that can update the booking. This is why I compare the actual work completed through MCP.

Compare camp registration software and its MCP tools

Regpack offers forms that change based on answers, along with payment plans and automated communication. Include it if the application and payment steps are a large part of your problem. CampDoc offers health records and medication tools alongside registration. If those records are central to your decision, have your health staff help assess it. Collecting an allergy answer on a signup form is a different task from managing medication records. Test one family booking from start to finish

Use an example such as two siblings attending different sessions, with one needing transport. Add a deposit and a dietary requirement. Then move one child to a different week.

Ask each provider to show:

• The price for each child and any family discount.

• The deposit paid and the remaining balance.

• What happens if the new session is full.

• The updated camper and room lists.

• What the kitchen and other staff receive.

You will learn more from that example than from a long feature list.

If your camp uses nurses’ records, staff hiring, transport routes or another specialized process, include that job in the demonstration too. A smooth parent signup is only part of the decision.

How much does camp management software cost
