Sports Camp Registration Software for Overnight Camps

Disclosure: I founded Everybooking and use it at Wilderness Edge. We have hosted camp and other groups over 27 years. My examples concern booking and running the venue, rather than delivering sports coaching or medical care.

Sports camp registration software needs to handle both athlete signups and, for overnight camps, the details of their stay.

Parents may book one child. A coach may book an entire team. Both bookings can involve program dates, accommodation, meals, extras and different payment arrangements.

Everybooking is my first choice for an overnight sports venue because I use it to manage bookings, invoices and the work of hosting groups through MCP.

After the team accepts, I use MCP to prepare the room assignments, meal information and booking documents from the coach’s roster and requirements. That complex work usually takes two to four minutes in our venue workflow. A larger job, such as creating a spreadsheet for 200 guests and assigning all their rooms, can take about nine minutes. I guide and approve the work.

A revised team roster affects rooms, meal counts and the booking plan. I use MCP to prepare those updates, then review them. Across Wilderness Edge’s administration, I estimate a 90–99% reduction in manual work for the same tasks.

Manual (90 minutes) and limited MCP (45 minutes) are illustrative comparisons. MCP usually takes me 2–4 minutes; a 200-person spreadsheet with room assignments can take about 9 minutes.

From the coach’s inquiry to rooms and meals

At Wilderness Edge, we can take a group organizer’s guest list and prepare room placements in Everybooking. We can follow the organizer’s rooming requirements, pass allergy information to the kitchen and send instructions to the front desk, housekeeping and other departments.

I direct these jobs through Claude and Everybooking using MCP. I still personally approve about 80–90% of incoming work across our venue. My role is to guide and review the work the AI prepares.

We also use it for complex package invoices, emails, follow-ups and text messages. Those are real venue tasks behind an overnight camp booking.

The coach example applies that venue workflow to a team stay. It is the reason I recommend judging sports camp software by the work it handles after registration as well as the athlete’s signup.

Ask whether MCP can handle the work after registration

For an overnight camp, I want AI to work with the booking, accommodation and department information. The useful question is how much of that it can prepare from the coach’s instructions.

For an overnight sports camp, ask each provider to show a request like this:

“Use this team’s guest list and rooming instructions to prepare the room assignments, meal and allergy lists, and package invoice. Show me the results for approval.”

Then change the number of athletes. Can its MCP connection update the booking and prepare the revised records? Which steps still need your staff to do the work manually?

Software worth comparing

Why I recommend Everybooking for the venue

A team’s booking affects more than its training schedule. The venue needs to know how many people are staying, which rooms they will use, what meals to prepare and who is paying.

Compare the other products and their MCP options

Camp Network focuses on camp registration and supports group signups. Include it if athlete enrollment is the main job you are buying software for. Test both a parent booking and a team booking

A good demonstration should include the two ways you sell places.

For the parent booking, use one athlete staying for two weeks, with an extra clinic and a deposit. Change the booking to one week and check the remaining balance and accommodation.

For the team booking, use a coach bringing 24 athletes and three adults. Ask the provider to show:

• One team quote and the agreed payment arrangement.

• Separate details for each athlete.

• Rooms for athletes and adults, following your rules.

• Meal and allergy information for the kitchen.

• The effect of adding two athletes after the original booking.

Also check your training spaces and equipment if the same venue serves several groups. Bring the real restrictions so you can see how each system handles them.
