Event CRM
Pipeline views, contact records, tasks, and email tracking purpose-built for groups, weddings, and corporate events.
Follow an inquiry from the first question to the confirmed booking, with the organizer, quote, and next step connected. Built for teams selling venue hire, catering, activities, and group stays.
Track event inquiries from first contact to confirmed booking
Start with the inquiry
Keep the organizer and their conversation attached to the deal. Review the requested date, guest count, and services before quoting. If the request is missing an end time or catering choice, your team can ask for it before promising a price.
Connect the quote to the booking
Build an itemized quote using your products, prices, and availability, then work from the booking linked to that deal. The contact, correspondence, and booking stay connected as the conversation progresses.
Give the next step an owner
Assign the deal to a team member, record notes, and set a follow-up or snooze it until the right time. Review the linked booking's payment and deposit status before treating the event as confirmed under your venue's policy.
Keep the organizer, quote, and follow-up in one place
Event sales often involve more than one contact. Link the organizer and other contacts to the deal, keep notes and documents with the conversation, and let the assigned teammate pick up where the last person left off. A customer's booking history adds context when they return with another event.
If the dinner grows from 60 to 75 guests, review the booking's quantities, catering, capacity, and total before sending an updated quote. A changed request needs a checked booking, not just a new value on the sales card.
How event CRM connects to live availability
Everybooking's Instant Quote templates use the same business inventory you sell by time, time slot, day, night, or quantity. That can mean evening venue hire, an activity slot, overnight rooms, and meal quantities within one booking workflow.
Customers receive a quotation in 4 seconds on average after supplying the required pricing inputs. Your configured availability and booking rules determine what can be quoted and when inventory is reserved.

From a tour request to a confirmed host.
Manage venue tours alongside the inquiry. Choose instant confirmation with a fixed host, or let a teammate accept the request before the customer receives confirmation.
- 01
Hold the requested slot
For a meeting type that needs a teammate, the customer receives a request acknowledgement. The slot is held while a host is found; the tour is still pending.
- 02
Let a host accept
Eligible teammates receive the request. The first acceptance assigns the host and confirms the tour. If nobody accepts, your team gets an alert to follow up.
- 03
Handle changes on the deal
Move the tour, change the host or cancel from the deal's Tours box. Choose whether to tell the customer, and keep the visit attached to the inquiry.
Teammate confirmation is opt-in for each meeting type. A venue tour is separate from reserving the customer's event date; the event booking still follows your inventory and confirmation rules.
Work on inquiries across your venues in one shared view →Which parts can your team automate?
Depending on your plan and setup, use inbox classification, suggested replies, and drip email sequences to reduce routine follow-up work. Staff can review the conversation, edit a draft, pause AI on a deal, or take over when an inquiry needs judgment. Set the permitted actions and automation rules for your business before relying on them.
With MCP access, connect Claude, ChatGPT, or Grok through the sign-in flow to work with supported Everybooking tools. For example, ask for a deal summary or help reviewing upcoming follow-ups. Each connection follows its access level, your permissions, and enabled features.

Event CRM questions
- What is an event CRM?
- An event CRM helps a venue or service business manage the sales conversation around an event: the organizer, inquiry, quote, follow-up, and booking. Everybooking connects that conversation to the actual booking record, so staff can review the services, dates, and payments alongside the deal.
- Can I use it as a wedding venue CRM?
- Yes. Keep the couple or organizer's inquiry linked to their venue booking, including the quote and correspondence. Use your wedding quote template to gather dates, guest count, and package choices. Your team still decides how to handle exceptions, holds, contracts, and confirmation requirements.
- Does an inquiry or quote reserve the date?
- Do not assume that a CRM stage or an unanswered inquiry reserves inventory. Availability depends on the booking status, inventory rules, and hold settings configured for your business. Recheck availability when dates or requirements change, and confirm the booking using your agreed process.
- Which plan includes event CRM and automation?
- The deal pipeline, the AI deal pipeline, drip email sequences, inbox classification and MCP/API access are part of the whole system, which we set up with you in a full setup, priced to your business on a short call. Available actions also depend on team permissions and enabled features. The pricing page has what each offer includes.
