How quote request forms use live availability to quote instantly
A quotation in 4 seconds on average. Your actual availability and pricing. A quoting experience you can shape through MCP.

A quote request form for a service business needs to capture what the customer wants and when they need it. That might be three hours in a studio, a place on a tour, a venue for a day, a room for two nights, or equipment for a customer's job. An instant quote needs to account for both the price and whether the requested service or resource is available.
Everybooking's instant service quote templatesconnect the customer's choices to your live inventory and pricing rules. Once the customer provides the details needed to price the request, the quotation is generated in 4 seconds on average. That average describes quote generation; customers take their own time choosing dates, quantities and options.
An instant quotation built from five inventory types
Inventory in a service business includes the time and capacity you can book, as well as the resources you supply. Everybooking supports time, time slots, days, nights and quantities. Choose the units that match each offering and combine them when a booking includes more than one kind of service.
| Sell by | Example | Availability check |
|---|---|---|
| Time | Three hours of studio hire or two hours of setup labor | The resource's availability over the requested duration |
| Time slot | A 10 a.m. class, tour departure or service session | Availability and configured capacity for that particular slot |
| Day | A venue for Saturday or equipment for a three-day hire | Availability across the selected days |
| Night | Guest rooms, cabins or boarding across a two-night stay | Availability between check-in and check-out |
| Quantity | Guest meals, class places or a number of rental units | The requested count against the relevant stock or capacity limits |
Quantities also drive pricing: 40 lunches cost something different from 60. Where an item has limited stock or capacity, you configure that limit in Everybooking. You can also track individual units, such as a particular room or a named piece of equipment, when customers need a specific resource.
What customers see inside an instant quote form
The customer chooses dates or a time slot, selects services and resources, and enters the quantities that affect the booking. The flow checks live availability for those choices and uses your pricing rules to build an itemized quotation. As the request changes, the price recalculates.
Your setup controls the experience: a date range for a stay, available time slots for a session, quantity selectors for equipment, or a choice of specific units. The form and your staff work from the same catalog, prices and availability. Changes to that shared data are reflected in the connected flow.
For example, a retreat quote could combine eight rooms for two nights, a meeting space for one day, an afternoon activity slot and meals for 24 people. A rental and services business could combine equipment by day with setup labor by hour. Each line keeps its own booking unit and pricing rules within one quotation.
From a quote request to a priced next step
The quote can apply your configured options, seasonal rates, discounts, taxes and fees. Your booking flow can then collect contact details, request a deposit or take payment, according to how you want that service to close. Some requests need a staff review before confirmation; others can continue directly to booking.
A quotation and an inventory hold are separate steps. Your booking statuses and settings determine when availability is held. Keep those settings aligned with your deposit and confirmation process so customers understand what happens next. See the instant quote software page for more about the pricing engine.
Shape the quoting experience through MCP
Once your own flow is built, you can change it by describing what you want in Claude, ChatGPT by OpenAI, Grok, or another compatible MCP client connected to Everybooking. MCP, the Model Context Protocol, gives your AI access to the Everybooking tools you authorize.
Ask for changes to the layout, colors, wording, questions, steps, conditional paths, products and pricing. You can shape the customer experience around the way your service business sells. For example:
- “Ask for the number of guests before showing the meal options.”
- “Add hourly setup labor to my equipment hire quote.”
- “Use my brand colors and put the date selection first.”
- “Show an overnight accommodation step when the customer chooses a two-day package.”
The AI makes supported changes through Everybooking; the pricing engine still calculates the quote from your rules. MCP is included with Growth and Enterprise. Editing requires Full access, and the connection works within the permissions you approve. Connect your AI to Everybooking to get started.
