How Much Does Hospitality CRM Software Cost in 2026?
Pricing across the hospitality CRM market — Tripleseat, Caterease, Event Temple, and the upstarts.
Hospitality CRM pricing is a mess. Tripleseat won't publish a number. Caterease quotes verbally and varies by region. Event Temple is one of the few with public per-user pricing. And the upstart category (Everybooking, Cendyn, Knowcross) prices on a different model than the incumbents. Here's the actual spread, sourced from quotes operators have shared with me over the last 18 months.
The defining number: hospitality CRM pricing in 2026 spans $39/month to $2,400/month per venue. The biggest cost driver isn't features or volume — it's whether the vendor charges per user. Per-user pricing turns into a hiring tax on your sales team.
The four pricing models in the market
Hospitality CRMs price in one of four ways:
- Per-venue flat fee. One price per property, unlimited users. (Planning Pod, Everybooking, some Tripleseat plans.)
- Per-user monthly. Pay per seat regardless of usage. (Event Temple, Salesforce.)
- Per-venue + per-user. Both axes. (Some Tripleseat tiers, Caterease.)
- Per-event or transaction fee. Pay based on activity. (Rare in CRM, common in ticketing.)
The model matters more than the headline rate. A $99/user CRM with 5 users is more expensive than a $349/venue flat fee.
Tripleseat, real quotes
Tripleseat doesn't publish pricing, but the quotes I've seen cluster:
- Tripleseat Pro (single venue, small): $350–$425/month, plus $1,500 setup. Unlimited users.
- Tripleseat (multi-venue, restaurant group): $250–$350/month per venue, volume discount on 5+ venues.
- Tripleseat Enterprise: Custom-quoted, typically $600–$900/month per venue for chains.
Annual contracts only. Onboarding fee is non-negotiable except at the largest scale.
Event Temple, real quotes
Event Temple publishes pricing, which is rare for the category:
- Pro: $129/user/month.
- Premium: $249/user/month.
For a 4-user sales office: $6,192–$11,952/year. For an 8-user team: $12,384–$23,904/year. Per-user pricing grows linearly with your sales hiring.
Caterease, real quotes
Caterease quotes vary by region and the version (Express, Professional, Connect):
- Express: ~$199/month per venue, basic features.
- Professional: $325–$475/month per venue.
- Connect (cloud, full): $475–$575/month per venue.
Mandatory training fee of $500–$1,500 for new properties. Annual prepay typically saves 10%.
Planning Pod, real quotes
Planning Pod publishes pricing per tier:
- Essential: $79/month, 1 venue, 2 users.
- Pro: $149/month, 1 venue, unlimited users.
- Multi-Venue: $369/month, up to 5 venues, unlimited users.
Per-venue flat fee, unlimited users on Pro and above. Predictable and friendly to growing teams.
Everybooking, real pricing
Published pricing:
- Instant Quote Funnel: $97/month plus $297 setup, or $970/year with setup included. We build your instant quote funnel for you, with 50,000 usage credits a month (about 50 funnel quotes).
- Full setup of the whole system: priced to your business on a short call.
30-day money-back guarantee on the funnel: a full refund of everything you paid for it, for any reason.
Cendyn, Knowcross, and upstarts
Hotel-specific CRMs (often paired with PMS) come at different price points:
- Cendyn CRM: Custom-quoted, typically $800–$2,400/month for a 100-room property, scales with room count.
- Revinate (CRM + marketing): $700–$1,500/month per property.
- Knowcross (operations CRM): $400–$900/month per property.
These tools target hotels specifically, integrate with Opera/Mews, and price closer to the PMS budget than the venue-CRM budget.
Hidden cost lines
Three lines that don't appear in the published rate:
- Onboarding / training fees. $500–$5,000 one-time, often non-negotiable.
- Integration fees. Some PMS integrations are paid (Opera certified integrations can run $1,500–$3,000 setup).
- Per-document fees. Some platforms charge for e-signed contracts, BEO PDFs, or proposals sent (rare but check).
How to budget honestly
For a single venue doing $500K–$1.5M in bookings annually, budget $2,500–$7,500/year for hospitality CRM. For a 4-property restaurant group, budget $12K–$25K/year. For a hotel with group sales as 30%+ of revenue, budget $8K–$30K/year for the CRM layer alone (separate from PMS).
If you're being quoted above the high end of those ranges, push back. The hospitality CRM market has gotten more competitive, and most vendors have headroom on price.
The per-user trap
The single most common buyer mistake: locking into per-user pricing because the first quote looks lower than per-venue pricing. Three years later, the team has grown from 3 to 7 users, and the bill has more than doubled. If you're planning to grow your sales team or add a coordinator/junior role, flat-fee per-venue almost always wins on a 36-month total cost.
