You will not believe what I found on this contact page. Name, email, phone number. Absolute total fail. You should never ever ever do this. And we're going to show you what you should do instead. Today, we're taking a look at a wedding venue website. We're going to audit this site. I just looked at it for a few minutes and I found one of the biggest mistakes that you can make on your contact page.
So, if you stick around on this video, we're going to show you how to get three to four times more leads and inquiries on your website by just making one change. Let's get into it.

Okay, so here's the website that I pulled up. This is a wedding venue called Villa Siena. Should mention, they do more than just weddings. But, I went and I kind of went around on this website and I happened to go to their contact page and this is what I saw. Okay. Name, email, phone number. Absolute total fail. You should never ever ever do this. And we're going to show you what you should do instead.
So, generally speaking, the stats on this is that a regular contact form like this, especially when you actually go and you select, you know, whether you want pricing info or scheduling a tour, it's just this wall of information that people have to fill out and it is an absolute chore. And because of that, your conversion rates are not what they could be. So, I actually happened to do some secret shopping on this website.
I filled out this form and I got a canned response back. So, a pre-made email that has some additional info. And to be honest, you know, it's good that they have something to send out immediately. But again, they're missing out on a massive opportunity to capture leads and to get people excited and interested in actually engaging with your business and actually booking at your venue. Generally speaking, out of, you know, on a scale of 1 to 10, I would rate this maybe at a like a two or three.
So, they're not the worst, you know, it's not the worst thing that I've seen. But generally speaking, there's tons of room for improvement. So, we've taken a look at the problem. Let's actually get into the solution. I took their website URL. I plugged it into our software and we scanned everything on their website. We looked at their offerings, the different types of customer segments that they market to, and we built a custom step-by-step flow that customers can now go through in order to get an instant quote and to get a personalized email once they actually go and they fill it out.
2:20Building the replacement, live
So, instead of being greeted with a name, email, phone number, and a list of things that you have to fill out, all we've done is we've taken the key points of what they need to put together a quote or proposal for this venue, and we've put it into a multi-choice step-by-step flow that matches their website. So, the first thing that we're going to see here is how we want to segment the customers, right?
Are they a wedding, are they a celebration, or are they a corporate or holiday? In this case, let's go through. I'm going to choose wedding. And now we're going to dig a little bit deeper. So, how much of the day is here? Is it the ceremony or reception? Is it the reception only? Or is it an elopement or a smaller wedding? I'm going to choose ceremony and reception just because that's probably going to give us kind of the biggest look at what options and and steps there are in this flow.
So, let's keep going. So, when are you marrying? We're going to get their preferred date. And so, I'm going to go ahead and go all the way to let's say July 10th, 2027, which is good. We'll scroll down and it allows us to choose the number of guests that we're booking for as well. So, we'll set that to 150. And let's go go ahead and price the date here.
So, one of the things that we did when we put together this flow is we noticed that depending on what time of year that this venue books, it changes the pricing depending on what kind of pieces are there. And so, it puts them in a pricing tier. And so, we automatically calculate that based on the choices that they make. And so, in this example, for choosing July with 150 guests on a Saturday, that puts us in the tier three for pricing.
So, let's keep going. So, now that we have our proper pricing tier, now we actually get to choose the level of service that we want. And so, this particular venue offers three different choices. Think about it Think of it as like good, better, and best. And so, the Florence package is this price. We have the Rosabella, and we have the Viviana. For the sake of, you know, our demonstration, I'll go ahead and I'll choose Rosabella, and we'll go to the next step here.
So, put yourself in the shoes of a potential bride or a couple that's going through this flow. We want them to start to dream about what they want out of their wedding. And the fact that we're giving them options, as you're going to see here, giving them add-ons, giving them different choices, they're help it's helping them have a clear picture of what their wedding and what their event is going to look like at your venue.
So, all of these steps are really just ways that we can add add things to their package and price them out in their final quotation. So, in this case, we're just going to go through the next few steps pretty quickly, but basically every step is just kind of a category of products that we want to go and actually choose. And so, I'll choose the open bar. And we'll make sure I think that's it what we want to select there, so that's good.
Then, we want to know where we actually want to have our ceremony. And so, we have two options here in terms of the space. I'll go ahead and choose the Piazza Toscana. And we'll go ahead and move to the next step. Then after this, we have some decor related add-ons. So, I'll go ahead and we'll add the ceremony sound and wireless microphone. I'll go ahead and add an extra rehearsal hour, so it's the evening before, and we'll add an officiant as a part of this.
So, the next step we have floral selection, which is they have three packages. I'll go ahead and choose the middle-of-the-road. For the DJ, I'll also choose a similar option. And we also have some additional options this here in terms of photography and film. So, I'll just go ahead and choose the base package there and continue. So, the next here we have a couple things that they've the venue does specifically, which is they have a list of preferred caterers and preferred DJs that they have available.
So, again, all these are added. So, if there is a particular vendor that they that a a couple or wants for their wedding, they could go ahead and select it here. So, I'll select I'll select this one here for the catering. For the florist, I'll choose this one. And lastly, for the DJ, we'll just go ahead and we'll do Ray the DJ. Love that name. Okay, so we're almost there.
All that's left here is now we're going to get a form. So, again, quickly rewind. We had the contact form on the front end originally, but now what we've done is we've allowed them to make all their selections. They've made all these micro steps and these micro transactions of commitment to getting the quote that they want. And we're not just telling them, "Hey, we're going to contact you in 24 hours."
We're actually going to going to give them a proposal instantly that you're going to see here in a second. So, I'll just go I'm going to fill in my information and then we'll see what happens. Okay, so after I submitted my information, I get exactly what I'm looking for, which is a customized proposal based on all of my choices outlined line by line inside of here. And this is looking really, really good.
Okay. So, just kind of wrapping things up, we have the option as well in here is we have the option of basically paying a deposit to reserve the dates, which is going to hold their booking for, let's say, 2 weeks. And this is completely customizable. Everything that you've seen in all the logic involved is completely customized with Everybooking, which is the software that we're using here. And you know, one of the other things, especially for wedding venues, is you don't have to do a deposit.
You can also do a schedule where they can book a tour or they can book a call to talk with somebody at the venue. So, we've taken a look at the funnel, but there's one last thing that I wanted to show you, and that is we've actually gone and taken all of the answers to my responses here, and we've automatically personalized and sent an email to the people that go through and actually finish this whole flow.
And this is the email that I got. So, as you can see, we've got something that's perfectly tailored and has all the details of what I've mentioned. And what I can tell you from personal experience and from working with other venues with the software, that the response rates that you get when you create a personalized email like this is insanely high. And there's people that are thanking you because they get a response that is dedicated to them.
They feel like you've gone and taken the time to actually look at all the things that they wanted, and you crafted this email. And that the the response rates are insanely good. And you know, without using too much hype words, I'll just say it plainly. Like, this is something that you need in your business, and we have the ability to go and actually personalize this based on all their responses.
