Booking promotion guide

Plan an early bird offer with a clear end and a measurable result.

Early bird pricing gives customers a reason to book before a stated deadline. The offer should also make sense for the service you will deliver.

For tours, classes, retreats and events, decide what qualifies, how long the promotion runs and how much discounted demand you want to accept before sharing a code.

01

Choose the booking problem you want to solve.

An early bird offer might help a workshop confirm attendance, a tour operator plan staffing or a retreat organizer understand demand earlier. Write down the intended result first. A discount used by someone who would have paid full price is not automatically a gain.

  • Earlier commitments for a defined service.
  • A useful attendance signal before staffing decisions.
  • A specific campaign you can compare with normal booking behavior.
  • A clear reason to end the promotion.

02

Write the terms in the customer's language.

State the offer, the eligible services, the deadline and any minimum spend or quantity. Explain any other restrictions before checkout. Keep the promise consistent across the page, email and booking flow so a staff member does not have to interpret it differently later.

  • What is discounted and what is excluded?
  • When must the customer use the offer?
  • Is there a minimum spend or quantity?
  • Can the same customer redeem it more than once?

03

Use dates and caps to keep the offer bounded.

Everybooking's customer promotion rules include start and end dates, a total use cap, one paid redemption per customer, and minimum spend or quantity. The use dates define when a code may be applied; they do not by themselves limit the service dates selected by the customer.

  • Set the promotion window.
  • Choose a use cap that fits the campaign.
  • Add the appropriate minimum spend or quantity.
  • Review eligible products and the intended booking flow.

04

Check the quote before publishing the campaign.

Review a qualifying example and an example that should not qualify. Check the displayed price, the code rules and the selected services. Use a non-production test workflow where possible, and do not create customer messages or real charges just to test an offer.

  • A valid example inside the promotion window.
  • An example below the minimum spend or quantity.
  • An example after the deadline.
  • A review of staff pricing access, which is separate from customer code limits.

05

Review paid redemptions and the discount cost.

Everybooking separates bookings carrying a discount from paid redemptions. Review paid uses, the savings given and remaining uses alongside your booking and revenue reports. Compare like periods and consider seasonality; the reporting does not prove that a promotion caused additional bookings.

06

End the campaign deliberately.

Use the planned end date or switch the promotion off for new uses. Review existing bookings separately and avoid treating the end of a promotion as a reason to rewrite a customer's accepted booking. If you repeat the offer, duplicate it as a starting point and review every date and limit.

Your questions, answered.

What is early bird pricing?
It is an offer for customers who book before a stated deadline. For service businesses, its purpose may be earlier commitments or better planning. The terms should make the eligible services and deadline clear.
Does Everybooking automatically discount bookings made 30 days before arrival?
The promotion controls described here support fixed start and end dates. They do not, by themselves, establish an automatic rule based on the number of days between booking and arrival.
Does applying a promo code to a quote count as a paid redemption?
No. The report distinguishes applied bookings from paid redemptions. One-per-customer and paid-use limits should not be interpreted as counts of every unpaid quote.
Should every service use an early bird discount?
No. Consider the delivery cost, normal demand and reason for encouraging earlier bookings. A clear regular price can be more appropriate when capacity is already likely to fill.
