Booking accounting reports

Know what is owed, what is due, and what you have received.

Accounting reports for service businesses, connected to the bookings your team already manages.

Review ten dedicated accounting reports alongside your revenue, tax and sales reports. Follow the money from a customer's invoice to its payments, refunds and remaining balance.

01

See overdue balances before the next booking starts.

The accounts receivable report groups unpaid balances on committed invoices into not yet due, 1–30, 31–60, 61–90 and over 90 days overdue. Open customer statements to understand which invoices make up a customer's balance.

  • Accounts receivable: who owes you and how late the balance is.
  • Customer statements: committed invoices, payments and remaining balances.

02

Separate money due from deposits already received.

Expected payments shows what falls due during a period. Deposits held shows money received for bookings that have not started. That distinction helps a retreat center, tour operator or rental company prepare for upcoming work without treating every advance payment as a completed service.

  • Expected payments: scheduled installments on their due dates; other balances on the booking's first day.
  • Deposits held: advance payments, net of refunds, grouped by the month the booking starts.
  • Earned revenue: committed invoices grouped by the day their booking starts.

03

Close the day with payments and refunds in view.

Daily closeout groups payments and refunds by payment method. The refunds report keeps the corresponding invoice in view. Revenue by source shows net receipts by how the invoice was created and by the team member who created it.

  • Daily closeout: payments, refunds and net totals by method.
  • Refunds: the period's refunds with their invoice references.
  • Revenue by source: invoice creation sources and team members, not advertising attribution.

04

Keep unspent gift certificates visible.

The gift certificates report separates outstanding balances from expired certificates and shows the period's issuance, added value, removed value, redemptions and other activity. Issued value records what went onto certificates; it is not a measurement of gift-certificate sales receipts.

Give your accountant the reports they need.

An owner or administrator can provide a restricted reports-only login for an outside accountant. It opens selected financial reports and their exports without opening the staff workspace. Staff access and CSV exports follow the appropriate permissions.

  • Selected accountant reports include receivables, expected payments, deposits, statements, earned revenue, gift certificates and journal export.
  • Daily closeout, refunds and revenue by source are not included in that outside-accountant login.
  • The journal export provides a period's receipts as a balanced, cash-basis journal entry in CSV.
  • Map the exported account names to your books and verify the import format. This is an export, not automatic QuickBooks, Xero or Sage synchronization.

Ask your connected AI the same reporting questions.

With the required access, Claude, ChatGPT or Grok can request accounting reports through Everybooking MCP. The reporting tool uses the same report calculations as the dashboard. Choose Look only when you need answers without granting changes.

  • Show me the accounts receivable aging report.
  • What payments are expected this month?
  • How much are we holding for bookings that have not started?
  • Summarize outstanding gift certificate balances.

Your questions, answered.

Does Everybooking replace my accounting software?
These are booking accounting reports and exports. They help you understand invoices, payments, refunds and balances. Keep your general ledger, bank reconciliation and financial reporting in the accounting system and workflow your accountant uses.
How do deposits held and earned revenue treat a multi-day booking?
These reports use the booking's first day as the earning date, rather than spreading revenue across each service day. Deposits held reads past payments against invoice dates and statuses as they stand today, so later booking changes can affect an earlier as-of figure. Review this basis with your accountant before using it for your accounts.
Can I download the accounting reports?
Yes. Each of the ten accounting reports has a CSV export. Staff need the appropriate report and export permissions. Reports-only accountant logins can export the selected reports available to them.
Can I ask my AI to read reports without changing bookings?
Yes, when your connection has permission to read the report. MCP is available on Growth and Enterprise; Look only permits supported reads without changes or sends.
