How studios and creative spaces book more sessions from the requests they already get

0:00Who this is for
If you run a recording studio, a photo studio, a pottery studio, a shared kitchen or a co-working space, this is for you.
I'll show you how to book more sessions, hires and memberships from the calls, emails and web requests you already get.
Without hiring someone to run the front desk, without buying more leads, and without learning a complicated new system. You just talk to it.
You'll simply be the first one to answer every request with a real price, even mid-session, and the one who follows through until the work is paid.
0:28Why I built it
How do I know this works?
My name is Kevin Penner. I've run service businesses all my life. Powerland Computers. Wilderness Edge. And a few that flopped, which taught me more than the ones that worked.
And for years, we lost work the same way you do. Emails sat in the inbox for days. By the time we wrote back, they'd already booked whoever answered first.
We were paying for ads, then losing those leads to slow replies. Not to better places. To faster ones.
0:55Where the work is really lost
Everybody tells you speed wins. Answer first and you get the session. That's true, but it's only the first five minutes.
Think about where you really lose work. The project quote that takes two days. The question about gear nobody answered. The album booking that went cold. The band who recorded one single with you and made the record somewhere else.
The first reply gets you in the door. The studio that handles everything after it wins the session. And the one that keeps showing up makes every record they make after that.
Everyone has access to the same AI. The difference is what it's connected to.
A chatbot knows your website and your rules.
Ours knows that too, plus your rooms and gear, your calendar, your invoices, and every call, text and email, in real time, twenty-four seven.
A chatbot guesses. Everybooking knows.
Let me show you three things that make that possible.
1:451. A funnel that sells and sorts
Number one. A chatbot says hi, asks what they need, asks for their email, then asks if they'd like a call back.
Your artist still hasn't seen a single price. That's not selling. That's a receptionist with a script.
Everybooking's funnel sells what makes your studio different, and sorts the leads right away. One tap: a single session, a monthly membership, gear for a shoot, or the whole space for an event. Each one sees the right options and price.
And you choose how price shows up. The full price for day passes and hourly rooms. Some prices, with the rest held back for the big projects. Or let them build the whole project and see the total when they book.
Then you pick the next step: book and pay the block right there, a studio tour, or a phone call. Most sessions need nothing more than a deposit, and the big projects get your time.
Don't take my word for it. Below this video is a real instant quote funnel, built for a business like yours. Try it the way your customer would, and see how fast you get a price.
2:412. Priced in seconds
Number two. Right now some of you are thinking, that's fine for a simple business. Mine's different.
You've got rooms by the block, the hour or the month. Engineers and assistants. Gear by the day. Materials by the bag, the liter or the print. Night rates and member rates. And a calendar that's full by Thursday.
Most owners believe only they can price that, after a long email about the project. So the quote takes a day or two, and the client books another room.
Everybooking prices it in seconds, and gets it right, because it works off the same rate card, rooms, people and rules you do.
You sell four kinds of things, and it tracks all four. Gear and materials by quantity. Rooms and benches by the block or the hour. Days and months for shoots and memberships. And your rules, the same on every quote.
It never double-books a room or promises a mic that's already out, and it never loses a session because nobody checked the calendar.
And it doesn't stop at the first quote. They ask about cutting vocals in the booth instead, it sends a second option. They say yes at midnight after a gig, and the deposit is in your account at five past.
So no, your studio isn't too complicated for this. Your studio is exactly what this was built for.
3:493. Your office, done by talking
Number three. The work after the session ends: invoices, moved bookings, production company quotes, the numbers your bookkeeper wants.
Now you just talk to it like you'd talk to your office manager, and it does the work. Move the Harlows' Friday block to Saturday and text the band. Send Northgate Records their invoice with the extra mix. Give me last month's hours by room.
Not advice. The actual work. Like an office manager who knows every room, every price and every client, and never goes home.
It even answers your phone when you can't. It takes the message and puts it on your dashboard as a new booking.
Turn on auto-reply, and it gets back to them with a price they can book and pay. You choose which sessions it handles on its own, like anything under one thousand dollars.
And you stay in charge. Turn on approval to see every quote first. The tricky ones, like a six-week album lockout or an unhappy client, come straight to you.
When it needs an answer only your team has, it asks the right person. Your engineer replies from his phone between takes, and the client gets a proper answer.
When the session's done, it keeps showing up. A thank-you. A follow-up on the album quote they didn't book. A reminder when it's time to book the next record. One single becomes a band that makes every record with you.
5:04One job, start to finish
Let me show you one session, start to finish, in a demo studio set up like yours. Eleven twenty on a Thursday night, a singer is home from a gig and wants to record four songs.
She taps an EP, picks four songs and three blocks, adds mixing and mastering, and hits get my price.
Six seconds later, she has a real price, and the room is held for her on the three days she picked.
She asks if you can add a keys player. Everybooking asks Sam, Sam says your session player is free that week, and her quote updates.
At eleven forty-one, she books and pays the deposit. Twenty-one minutes from first tap to a booked, paid session on your calendar. You were asleep for most of it.
The day before, she gets a reminder with load-in time and parking. On day two, she wants a fifth song. Sam adds the mix and master from his phone, and she approves the change right there.
The final invoice goes out with the deposit taken off, and she pays the day her masters land. Form to paid, and nobody in your office touched it.
6:01Where it came from
Now, where did all this come from? I own Wilderness Edge, a retreat and conference center. Not a studio, but every bit as messy to quote.
I used to be on call from early morning until late at night, so I could be the first one to answer every inquiry with a real quote. Today, I have my mornings and evenings back. The first answer goes out without me. Our instant quote funnels and our AI answer nearly every first inquiry, twenty-four seven.
But that was only the first hard part. Once a lead is warm, they have questions. Changes. Details my staff have to check. That used to take me anywhere from twenty minutes to three hours, building spreadsheets, updating the quote, and chasing my team for answers.
Now the twenty-minute ones take one to two minutes. The three-hour ones are done in under ten.
Because I just talk to it. It knows every detail of every deal, and it has over a thousand different tools inside the system to get every detail of every session right.
I built Everybooking to fix my own problem first. My venue or your studio, the problem is the same. The first real price wins the session, and the fastest follow-through keeps it.
7:05Your math
Now let's do your math, not mine. For example, say your average booking is four hundred dollars.
If Everybooking turns just two more requests a week into bookings, in this example that's almost thirty-five hundred dollars a month, before the clients who come back.
Compare that to hiring someone to answer every call and email: about fifty thousand dollars a year with wages and benefits, and they still go home before the night session starts.
There are really two ways to grow a studio. Buy more leads that still sit in the inbox until the session's over. Or win more of the leads you already get, by being the first to answer with a real price.
7:40How we work with you
Here's how it works. We build it with you, in two stages.
Your instant quote funnel is answering requests within days. Within thirty days, your foundation is running. Then we connect the rest of your studio, every piece agreed in writing. Outside services you choose, like texting, calling or your AI assistant, are billed separately.
And try it completely risk-free.
If you don't feel the difference in your first thirty days, for any reason at all, we'll give you a full refund of everything you paid Everybooking. No forms, no friction, no questions asked.
