0:00Who this is for
If you run conferences, trade shows, expos, galas or festivals, this is for you.
I'll show you how to sell more passes, booths and sponsorships from the inquiries you already get.
Without hiring another person for the phones, without buying more leads, and without learning a complicated new system. You just talk to it.
You'll simply be the first one to answer every exhibitor and sponsor with a real price, day or night, and the one who follows through until it's paid.
0:26Why I built it
How do I know this works?
My name is Kevin Penner. I've run service businesses all my life. Powerland Computers. Wilderness Edge. And a few that flopped, which taught me more than the ones that worked.
And for years, we lost work the same way you do. Requests sat overnight. By the time we called back, their budget was already spent with whoever answered first.
We were paying for ads and mailing lists, then losing those leads to slow callbacks. Not to better companies. To faster ones.
0:54Where the work is really lost
Everybody tells you speed wins. Answer first and you get the booth, the table or the sponsor. That's true, but it's only the first five minutes.
Think about where you really lose sales. The booth quote that takes two days. The sponsor question nobody answered. The exhibitor who never got a call back. The company that came once and skipped next year.
The first reply gets you in the door. The organizer who handles everything after it wins the sale. And the one that keeps showing up gets the same exhibitors and sponsors back, year after year.
Everyone has access to the same AI. The difference is what it's connected to.
A chatbot knows your website and your rules.
Ours knows that too, plus your passes, your booths, your sponsor tiers, your invoices, and every call, text and email, in real time, twenty-four seven.
A chatbot guesses. Everybooking knows.
Let me show you three things that make that possible.
1:481. A funnel that sells and sorts
Number one. A chatbot says hi, asks what they're looking for, asks for their company name, then asks if they'd like a call back.
Your exhibitor still hasn't seen a single price, or whether the corner is even free. That's not selling. That's a receptionist with a script.
Everybooking's funnel sells what makes your event different, and sorts the leads right away. One tap: a pass for me, our whole team, a booth or a sponsorship. Each one sees the right options and price.
And you choose how price shows up. The full price for passes and seats, so they pay right away. Some prices, with the rest saved for the call. Or let sponsors build the whole package and see the total when they book.
Then you pick the next step: pay now for a pass, a booked sponsor call, or a deposit to hold the booth. Your best pitch goes to your biggest buyers, and nobody spends an hour on the wrong one.
Don't take my word for it. Below this video is a real instant quote funnel, built for a business like yours. Try it the way your customer would, and see how fast you get a price.
2:472. Priced in seconds
Number two. Right now some of you are thinking, that's fine for a simple business. Mine's different.
You've got member and standard rates. Early-bird deadlines. Booths by the square foot, with a premium on the corners. Only four gold sponsors. Tables of ten and single seats. And a company that sends six people and wants one invoice.
Most organizers believe only they can price that, on a call. So the quote takes a day or two, and the budget goes to another show.
Everybooking prices it in seconds, and gets it right, because it works off the same passes, booths, deadlines and rules you do.
You sell four kinds of things, and it tracks all four. Passes, booths and sponsor spots by quantity. Workshops by the time slot. Show days and market nights. And your rules, the same on every quote.
It never sells a booth you don't have, and it never sells a fifth gold sponsorship when there are only four.
And it doesn't stop at the first quote. They ask what a bigger booth would cost, it sends a second option. They say yes at eleven at night, and the deposit is in your account at five past.
So no, your event isn't too complicated for this. Your event is exactly what this was built for.
3:553. Your office, done by talking
Number three. The work after the registrations come in: booth moves, name changes, sponsor invoices, the numbers your board wants.
Now you just talk to it like you'd talk to your office manager, and it does the work. Move Harbor RV from booth two-fourteen to two-thirty and email them. Send Brightway their invoice with two more delegates. Give me this year's registrations, members versus standard.
Not advice. The actual work. Like an office manager who knows every pass, every booth and every sponsor, and never goes home.
It even answers your phone when you can't. It takes the message and puts it on your dashboard as a new inquiry.
Turn on auto-reply, and it gets back to them with a price they can book and pay. You choose which orders it handles on its own, like anything under two thousand dollars.
And you stay in charge. Turn on approval to see every quote first. The tricky ones, like a sponsor asking for a special deal, or an unhappy exhibitor, come straight to you.
When it needs an answer only your team has, it asks the right person. Your show manager replies from her phone on the show floor, and the exhibitor gets a proper answer.
When the show's over, it keeps showing up. A thank-you. A follow-up to the exhibitors who didn't book. A reminder when next year's booths go on sale. One booth becomes an exhibitor for twenty years.
5:13One job, start to finish
Let me show you one sale, start to finish, in a demo expo set up like yours. Six fifty on a Friday evening, the marketing manager at an RV dealer finally gets to your booth form.
She taps a booth, picks a corner, sets ten by twenty, adds power, carpet and a table, and hits get my price.
Six seconds later, she has a real price, corner two-fourteen is still open, and she can hold it with a deposit tonight.
She asks if they can park a camping trailer inside the booth. Everybooking asks Dana, your show manager. Dana says yes, and the move-in time goes straight on her booking.
At eight minutes past seven, she pays the deposit and booth two-fourteen is hers. Eighteen minutes from form to a held, paid booth, and one less on your list to sell. You were at dinner for all of it.
Two weeks out, she gets a reminder with her balance and her move-in time. On move-in day, she needs a second outlet. Dana adds it from her phone, and she approves the change right there.
The final invoice goes out with the deposit taken off, and she pays before the doors open on Saturday. From form to paid, and nobody in your office typed a thing.
6:17Where it came from
Now, where did all this come from? I own Wilderness Edge, a retreat and conference center, so I know your world. Meals by the person, rooms by the day, and headcounts that keep moving.
I used to be on call from early morning until late at night, so I could be the first one to answer every inquiry with a real quote. Today, I have my mornings and evenings back. The first answer goes out without me. Our instant quote funnels and our AI answer nearly every first inquiry, twenty-four seven.
But that was only the first hard part. Once a lead is warm, they have questions. Changes. Details my staff have to check. That used to take me anywhere from twenty minutes to three hours, building spreadsheets, updating the quote, and chasing my team for answers.
Now the twenty-minute ones take one to two minutes. The three-hour ones are done in under ten.
Because I just talk to it. It knows every detail of every deal, and it has over a thousand different tools inside the system to get every detail of every booth right.
I built Everybooking to fix my own problem first. My venue or yours, the problem is the same. The first real price wins the sale, and the fastest follow-through keeps it.
7:23Your math
Now let's do your math, not mine. For example, say your average sale, a booth, a sponsorship or a team's passes, is eighteen hundred dollars.
If Everybooking turns just two more inquiries a week into paid sales, in this example that's over fifteen thousand dollars a month, before a single exhibitor comes back next year.
Compare that to hiring someone to answer every call and inquiry: about fifty thousand dollars a year with wages and benefits, and they still go home at five.
There are really two ways to grow an event. Buy more ads and mailing lists, with leads that still sit for days. Or win more of the inquiries you already get, by being the first to answer with a real price.
8:01How we work with you
Here's how it works. We build it with you, in two stages.
Your instant quote funnel is answering requests within days. Within thirty days, your foundation is running. Then we connect the rest of your business, every piece agreed in writing. Outside services you choose, like texting, calling or your AI assistant, are billed separately.
And try it completely risk-free.
If you don't feel the difference in your first thirty days, for any reason at all, we'll give you a full refund of everything you paid Everybooking. No forms, no friction, no questions asked.
