What RFP software actually has to do.

A request for proposal is not a price request. The buyer sends a brief — dates, headcount, requirements, sometimes a compliance checklist — and expects a document back that covers the scope, the itemized cost, how you handle the things that go wrong, proof that you are insured, and a way to sign. RFP software is judged on how much of that document it can produce without a person assembling it by hand.

That is where the category splits. Proposal tools are good at layout, boilerplate, and version control, then leave a blank pricing table for someone to fill from a spreadsheet. Booking and quoting tools are good at the pricing table and produce nothing else — no policies, no attachments, no signature. The response gets stitched together in a Google Doc, and the seam is where the deadline gets missed.

Request for information

Earliest and lightest. The buyer is building a shortlist and wants to know who you are, what you do, and roughly what you handle. No pricing expected.

RFQ

Request for quotation

The scope is already fixed. The buyer wants a number against a defined list. Speed decides it — whoever returns a real itemized quote first is in the running.

RFP

Request for proposal

The buyer describes a problem and wants an approach: scope, pricing, policies, terms, insurance, references, and a signature line. The heaviest of the three.

In practice the words get used interchangeably, and plenty of “RFPs” are really a fixed list waiting on a price. If the request you are holding just needs a number back fast, the longer walkthrough lives on answering a request for quotation instantly. The line the AI does not cross

What is RFP software?
RFP software helps a business answer a request for proposal: a buyer describes what they need, and you send back a document covering scope, pricing, policies, references, required attachments, and a place to sign. Most tools in the category assemble the document but hand the pricing back to a human. What is the difference between a request for proposal and a request for quotation?
A request for quotation (RFQ) says 'here is exactly what we need, what does it cost?' — the scope is fixed and the buyer wants a number. A request for proposal (RFP) says 'here is our problem, how would you handle it?' — the buyer wants an approach, policies, and terms alongside the price. A request for information (RFI) comes earlier still and only asks who you are and what you do.
