Let customers continue with the details they already gave you.
A pre-filled booking form carries the useful details from an inquiry into the customer's next step.
When someone has already shared their dates, group size and requirements, ask them to review those details in a connected booking flow. They can make changes and finish the remaining questions.
01
Carry the useful details forward.
Supported pre-fill links can carry contact details, dates, headcount and selections offered by the booking flow. A suggested first choice can be highlighted as Picked for you, while the customer remains free to choose another option.
- Name and contact details already supplied.
- Dates and the number of guests.
- Supported room, meal or activity choices.
- A suggested starting choice when the inquiry is clear.
02
From email inquiry to a reviewed reply.
In Email inquiries settings, choose one main funnel, allow a choice among suitable funnels, or select none. When the workflow produces a suggestion, staff can review the reply draft and the link before sending it. A generated draft is not an automatically sent message.
- Use an appropriate published booking flow.
- Review the suggested link in the inquiry.
- Preview what the customer will see.
- Send the reviewed reply through your normal process.
03
The customer reviews. The inventory stays live.
Opening a pre-filled link is a starting point, not a reservation guarantee. The customer can adjust dates, headcount and selections. Supported selections persist as they move back and return; unavailable choices are handled against current availability, rather than silently quoting an old selection.
- Keep the customer in control of the final choices.
- Ask the questions the inquiry has not answered.
- Check availability against the selected dates and items.
- Calculate the quote from the current pricing rules.
04
An Instant Quote once the pricing inputs are ready.
Everybooking's Instant Quote templates provide a quotation in four seconds on average after the customer supplies the pricing inputs. Pre-fill reduces repeated entry; the four-second figure is quote-generation time, not a promise about filling the form or receiving an email response.
How quote forms use live availability →05
Start with the booking flow your business uses.
Set up the appropriate live booking flow and email-inquiry settings, then review a pre-filled example before using it with customers. Older published flows may need an update to use the current pre-fill behavior. Through MCP, a connected assistant can help with supported flow changes and inquiry settings.

- What is a pre-filled booking form?
- It is a booking flow opened with known details already supplied, such as contact information, dates, headcount or supported selections. The customer reviews those details and completes what remains.
- Does a pre-filled link reserve the inventory?
- No. Opening the link or seeing a suggested choice does not itself guarantee a reservation. The booking flow applies availability and the confirmation steps configured for your business.
- Can customers change the suggested selections?
- Yes. Pre-fill is a head start. Customers can review and change supported selections, and the form checks the resulting choices against live availability and pricing.
- Does this send the email automatically?
- The workflow described here places a suggested link in a reply draft for staff review. Staff sends the reviewed reply. Do not treat a saved draft as a sent message.
- Is a new booking-form page required for each customer?
- No. A pre-filled link opens the appropriate existing flow with the supported details for that inquiry. Your published flow remains the basis of the customer experience.
