Software To Quote 100-Person Events (And Why Most Tools Can't)
Quoting a 100-person event needs real-time inventory, multi-line pricing, AV add-ons, and per-attendee data. Most booking software handles one piece.
If you've ever tried to quote a 100-person event using software designed for 1–10-person bookings, you already know. The math is built different.
Here's why most tools can't, and what does.
What 100-Person Event Quoting Actually Needs
Real example: 100-guest corporate offsite, 3 days, 50 cabins, plated dinners, AV, transport. The quote needs to compute:
- Inventory check: 50 of your 28 cabins doesn't work; the system needs to know you only have 28 (so 50 means 2-per-cabin doubles)
- Package match: which packages allow 100-guest events on which dates
- Per-day F&B: 100 × breakfast × 3 days + 100 × dinner × 3 days + dietary upcharges
- AV scaling: 100-person AV package different from 30-person
- Group discount tiers: standard pricing at 50, group discount at 80, deeper at 100+
- Transport math: if the corporate planner asks for shuttle, that's 4 × 25-person buses
- Compliance check: does your fire code allow 100 in this room?
Most booking software treats a 100-person event as "1 booking × 100 tickets." That's not the same math.
The Three Tools That Can Actually Do This
1. Everybooking, Instant Group Quote Platform
What it does: customer fills 30-second funnel → system pulls live inventory + package match + per-day F&B + AV scaling + group tiers + transport. Returns a real multi-line quote in under a second.
What's missing: not designed for branded enterprise RFP volume (Cvent territory).
Pricing: $147–$1,495/mo. Most 100-person event operators land on $297/mo.
2. Cvent, Enterprise RFP processing
What it does: handles large-volume RFP intake for branded hotels. The corporate planner sends an RFP; Cvent helps your team respond at volume.
What's missing: designed for RFP intake side, not the operator-quote-out side. Slow to compose individual quotes. $40k+/yr entry.
3. Tripleseat, Hotel F&B-centric
What it does: BEO management for hotel F&B-driven catering operations.
What's missing: not built for non-hotel venues (retreats, wedding venues, conference centers without F&B emphasis). ~$20k/yr entry.
Why Everything Else Falls Short
Quick survey:
- HoneyBook, Dubsado, no multi-line group quote engine, no per-attendee logic
- Checkfront, Bookeo, built for single-product bookings; group block management is manual
- Peek Pro, FareHarbor, activity bookings, not events
- Cloudbeds, handles room blocks well but weak on multi-line F&B/AV quoting
- Excel + Stripe, works until you scale past ~20 events/year
The 47-Second Quote (Real Demo)

How To Pilot This Without Risk
Recommended 14-day pilot:
- Day 1–3: package import + voice training
- Day 4–7: agent build
- Day 8–11: shadow mode, agent drafts replies, you approve
- Day 12–14: live launch on one channel (web form usually)
Most operators see the conversion lift in the first week of live deployment.
FAQ
What about 200- or 500-person events?
Same math, different inventory check. Everybooking has handled up to 800-person multi-day conferences. Inventory + AV + F&B scaling logic doesn't break at higher counts.
Does the quote include a contract?
Yes. E-signature contract auto-generates from the quote. Customer signs; deposit captures; the venue is locked.
What if the customer wants to negotiate?
Escalation rule. Agent passes the deal to your sales team with a Slack/SMS notification. Human takes over from there.
